How Far Can a Clinic's LINE OA Auto-Reply Go on Its Own?

Almost every clinic in Thailand takes enquiries mainly through LINE (LINE Official Account, or OA, is the business side of the country's most-used messaging app). And almost every clinic has tried LINE's auto-replies and found they help only a little. This article sets out what LINE's own tools really do, and where they stop.

Before looking for an outside system, it's worth knowing what the free tools already do. Plenty of clinics pay for things LINE already does for them, and plenty of others try to push LINE's tools into jobs they were never designed for.

Three things LINE OA does without connecting anything

1. Greeting message

The first message people receive when they add you as a friend. Set it once and it keeps working. It suits information everyone needs equally: where the clinic is, opening hours, what services you offer, and a clear note on when they'll get an answer if they message now. A well-written greeting genuinely cuts repeat questions, but it speaks only once, and says the same thing to everyone.

2. Keyword auto-replies

You can set a reply for when a customer types a specific word. It works well for words people type exactly, such as a programme name or a short keyword the clinic has announced. The problem is that people ask the same thing a dozen different ways. When a customer types “Is 20,000 baht enough for a lift treatment?” instead of your keyword, the system has nothing to say.

3. Rich menu

The picture menu at the bottom of the chat screen. Tapping it sends a message or opens a link. It suits shortcuts that really get used, like viewing prices, opening the map or talking to an admin. Don't cram everything in: an eight-button menu doesn't mean people will tap it. Most people type their question anyway.

Where LINE's tools stop

In short, all three are announcements, not conversations. They answer what you prepared in advance, but they can't do these four things:

  • Answer several questions in one message: “Can I pay for clear aligners in instalments, how many, do I need a cleaning first, and do you have a slot this Saturday?” is one message with three questions.
  • Follow on from earlier in the chat: a customer asks the price of one package, then types “What about for men?” The “what about” means nothing to a system that reads each message on its own.
  • Collect what your team needs next: name, phone number, main concern, a convenient time and which branch. If nobody asks and records it, your team has to message back the next day and ask one by one, which is exactly where most people drop off.
  • Know when it doesn't know: this matters most for a healthcare provider. Keyword-matching always picks the closest answer. On symptoms or treatment coverage, one wrong answer costs far more than no answer.

The difference between keyword systems and systems that actually read the message is covered in more detail in How an AI Bot differs from a menu-button chatbot.

What to know before connecting a chat system to LINE

The technical side isn't as messy as people fear, but a few points are worth knowing before you decide, because they directly affect how your admins work.

  1. The account must allow an outside system to reply: LINE OA can work in two ways, with people replying in the app, or with messages sent out to an outside system for processing. Connecting a chat system uses the second. It's a setting in the account management screen. You don't move accounts and customers don't need to add a new friend.
  2. Admins can still step in: a system built for customer service must let a person take over the conversation at any time. If a system says people can't reply once the bot is on, don't use it for a clinic.
  3. Account access always belongs to the clinic: you can give the provider admin rights, but the account must be in the clinic's name. People rarely think about this at the start, then pay for it when they want to change provider.

The switches to turn on and off in OA Manager (which have changed from older guides) and how to check the connection really works are covered in A checklist before connecting your clinic's LINE OA to a chat system.

What to prepare before setup day

The real work isn't the connection. It's gathering what the system needs to answer with. Prepare these four things and setup goes much faster.

  • A confirmed list of services and prices, including the conditions people usually ask about next, such as how many instalments and what the price includes.
  • The ten most repeated questions: open the last two weeks of your inbox and copy them as they are. No need to tidy them up. This is the most valuable data for the whole job.
  • Topics the bot must never answer: your clinic's own, on top of the basic medical guardrails that are already set.
  • Who picks up handed-off cases: when the system hands a case off, someone has to take it. Otherwise it just sits in another inbox, the same as before.

Common mistakes when clinics do it themselves

Setting auto-replies and never updating them: promotions change every month, but the reply still quotes March. A customer who got the wrong price and turns up at the clinic is a complaint, not a small slip. A good system lets you update the information yourself just by typing it in, not wait for someone else's update cycle.

Letting the bot answer everything, including symptoms and price negotiation. Those two must always be handled by a person.

Going live without testing real questions: take the ten hardest questions from your real inbox and try them first. If it answers something it shouldn't even once, it isn't ready.
